Booking Confirmation
- All lounge bookings (Big Lounge or Small Lounge) must be confirmed in writing via the Club Office.
- A booking is only secured once a deposit (if applicable) has been received and acknowledged by the Club.
- The Club reserves the right to decline bookings that conflict with member events or club operations.
Payment
- Deposits are non‑refundable unless otherwise agreed by the Club.
- Full payment for catering, bar, or additional services must be settled no later than 7 days prior to the event.
- Any additional charges incurred on the day (e.g., bar tabs, extended hire) must be settled before departure.
Cancellation Policy
- Cancellations made more than 28 days prior to the event will receive a full refund (excluding deposit).
- Cancellations made between 14–28 days prior will incur a 50% charge.
- Cancellations within 14 days of the event will be charged in full.
- The Club reserves the right to cancel bookings due to unforeseen circumstances (e.g., maintenance, safety issues). In such cases, deposits and payments will be refunded in full.
Use of Facilities
- The lounges must be used responsibly and in line with Club rules.
- Decorations are permitted but must not damage walls, fixtures, or furnishings.
- External catering or alcohol is not permitted unless agreed in advance.
- The hirer is responsible for ensuring guests comply with Club etiquette and behaviour standards.
Capacity & Safety
- Maximum capacity for the Big Lounge is 100 guests; for the Small Lounge, 40 guests.
- Fire exits must remain clear at all times.
- Children must be supervised by an adult.
- The Club reserves the right to stop any activity deemed unsafe or disruptive.
Liability & Damage
- The hirer is liable for any damage caused to Club property during the event.
- The Club accepts no responsibility for loss or damage to personal belongings.
- Any damage or excessive cleaning required will be charged to the hirer.
Catering & Bar Service
- Catering menus must be agreed at least 14 days prior to the event.
- Special dietary requirements should be notified in advance.
- Bar service will operate under Club licensing laws; staff reserve the right to refuse service.
Music & Entertainment
- Live music or DJs must be approved by the Club in advance.
- Sound levels must comply with local regulations and not cause disturbance to neighbours.
- All entertainment must finish by midnight, unless otherwise agreed.
Club Priority
- Club competitions, member events, and official functions take precedence over private bookings.
- In rare cases where rescheduling is required, the Club will provide as much notice as possible and offer alternative dates.
Agreement
By confirming a booking, the hirer agrees to abide by these Terms & Conditions.
